At Phaltronryxanord, we are committed to providing high-quality photography and visual storytelling workshops that meet and exceed our participants' expectations. We understand that circumstances may change and you may need to cancel or modify your booking. This Return Policy outlines the terms and conditions under which cancellations, refunds, and transfers are handled for all our workshops, courses, and programmes.
We strive to be fair and transparent in our approach to returns and refunds. We encourage all participants to read this policy carefully before making a booking so that you are fully aware of your rights and our procedures. Cancellation Policy
Cancellations by Participants
If you need to cancel your workshop booking, we offer the following refund options based on the amount of notice provided before the scheduled workshop date:
- Cancellation 14 or more days before the workshop date: full refund of the workshop fee
- Cancellation 7 to 13 days before the workshop date: 50% refund of the workshop fee
- Cancellation less than 7 days before the workshop date: no refund will be issued, however you may transfer your booking to another person or request credit towards a future workshop
All cancellation requests must be submitted in writing via email or through our contact form. The date on which we receive your cancellation request will determine the applicable refund amount. We recommend contacting us as early as possible if you anticipate that you may need to cancel.
Cancellations by Phaltronryxanord
In rare circumstances, we may need to cancel a scheduled workshop due to unforeseen events, insufficient enrolment, or other factors beyond our control. In such cases, we will:
- Notify all registered participants as early as possible, providing clear details about the cancellation and the reason
- Offer a full refund of the workshop fee, which will be processed within 10 business days
- Where possible, offer an alternative workshop date or programme that suits your availability
- Provide credit towards a future workshop if an alternative date is not available or suitable
Phaltronryxanord shall not be liable for any additional costs or expenses incurred by participants as a result of a workshop cancellation, including but not limited to travel, accommodation, or time off work.
Refund Process
All approved refunds will be processed using the original payment method within 10 business days of the cancellation request being approved. Please note that processing times may vary depending on your payment provider or financial institution. Refunds for payments made by credit or debit card may take an additional 5 to 10 business days to appear on your statement after we have initiated the refund.
If you have not received your refund within the expected timeframe, please check with your bank or credit card company first, as there may be a processing delay on their end. If you have confirmed with your financial institution and still have not received your refund, please contact us directly and we will investigate the matter promptly.
Refunds are issued in the same currency as the original payment. We are not responsible for any exchange rate differences that may occur between the time of payment and the time of refund if the original payment was made in a currency other than New Zealand Dollars.
Workshop Transfers
Transferring to a Different Date
If you are unable to attend your scheduled workshop but would like to participate on a different date, you may request a date transfer free of charge, provided the request is made at least 7 days before the original workshop date. Transfer requests made less than 7 days before the workshop date may be subject to a transfer fee or may be accommodated on a case-by-case basis at our discretion.
Date transfers are subject to availability on the requested alternative date. We will do our best to accommodate your preferred date, but cannot guarantee availability for all dates. If your preferred alternative date is not available, we will work with you to find a suitable alternative or provide other options.
Transferring Your Booking to Another Person
You may transfer your workshop booking to another person at no additional cost, provided you notify us at least 48 hours before the scheduled workshop date. The replacement participant must meet any applicable requirements for the workshop. To arrange a transfer, please contact us with the full name and contact details of the replacement participant.
Please note that the original booking holder is responsible for any outstanding balance on the booking at the time of transfer. The transfer does not create a new booking or extend any applicable cancellation periods.
Weather-Related Changes
Our photography workshops often involve outdoor activities and are designed to work with various weather conditions. In most cases, workshops will proceed as scheduled regardless of weather, as different weather conditions can provide unique and valuable photographic opportunities.
However, in the event of severe or dangerous weather conditions (such as storms, extreme winds, or official weather warnings), we may reschedule the workshop to ensure the safety of all participants and instructors. In such cases:
- We will notify all participants as early as possible about the rescheduling and provide an alternative date
- If you are unable to attend the rescheduled date, you will be eligible for a full refund or credit towards a future workshop
- We may offer a modified indoor programme as an alternative, subject to participant agreement
The decision to cancel or reschedule a workshop due to weather is made at the sole discretion of Phaltronryxanord and is based on safety considerations. We take the wellbeing of our participants and instructors very seriously and will always prioritise safety over schedule adherence.
Digital Materials and Resources
Workshop fees include access to digital learning materials, handbooks, and resources as described in the specific workshop listing. Once digital materials have been delivered or made accessible to you (typically at the start of the workshop), they are non-refundable. This is because digital content, once accessed, cannot be returned in the same way as physical goods.
If you receive a refund for a workshop after digital materials have been provided, you agree to delete all copies of those materials from your devices and not to distribute, share, or reproduce them in any way. We reserve the right to revoke access to online resources and materials upon cancellation of a booking.
Exceptional Circumstances
We understand that unforeseen events and personal emergencies can occur. In cases of exceptional circumstances (such as serious illness, family emergencies, or other significant events), we will consider refund and transfer requests on a compassionate, case-by-case basis, even if those requests fall outside the standard timeframes outlined in this policy.
Requests based on exceptional circumstances should be communicated to us as soon as possible and may require supporting documentation. Our goal is to be understanding and flexible whilst maintaining fair and consistent policies for all our participants.
Group Bookings
Special terms may apply to group bookings of three or more participants. If you have arranged a group booking and need to cancel, the cancellation terms will be applied on a per-person basis unless otherwise agreed in writing at the time of booking. Please contact us directly to discuss the specific terms that apply to your group booking.
Complaints and Disputes
If you are dissatisfied with any aspect of our service or this Return Policy, we encourage you to contact us directly to discuss your concerns. We take all feedback seriously and will work with you to find a fair resolution. If we are unable to resolve the matter directly, you may escalate your complaint through the appropriate consumer protection channels available in New Zealand.
